(‘we’, ‘us’ or ‘ULC’) provide a diagnostic tool, My Legal Checkup (MC), to help identify the protective legal requirements of individuals, offer guidance and suggest solutions in a report. We are committed to protecting and respecting your privacy. We take your privacy very seriously and it is important to us that you can use and enjoy our website without having to compromise your privacy in any way. We are a controller for the purposes of the General Data Protection Act 2018. This means that we are responsible for the control and processing of personal data when you visit our website, interact with us, use our diagnostic tool and our products and services in accordance with this privacy policy.

By using MLC you are acknowledging that we are processing your personal information and, where necessary, consenting to such practices as outlined in this statement.

Personal data which we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has not been asked for or has been removed (anonymous data).
We do not ask for personal information in order to complete MLC, view your report on- line or print a copy.
We collect personal information about you, with your consent, when you complete MLC and email it to yourself and/or request a call back.

How we use your information

We will collect personal information:

In order to take the necessary steps in preparation of your MLC report.
To provide communications offering advice and guidance from matters arising from your MLC report (and others if their personal information is provided by you).
To provide communications about products and services being provided to you (and others if their personal information is provided by you).
To update you on matters affecting your circumstances (and others if their personal information is provided by you).
To improve our services

When you use our website

Like most websites, there is certain information that is automatically tracked by the internet service provider , including the website you just came from, which URL you go to next, the browser you are using and any searches you have done. This information is used for internal purposes to monitor activity on the website only and is kept in a form which does not identify individuals.

Marketing

We may periodically send promotional material to you about new products, special offers or other information which we think you may find interesting, to the email addresses and phone numbers which you have provided.

If these are similar to products, services and bookings previously supplied by us to you, we will assume, under our legitimate interests to promote similar goods and services, that you are willing to receive this information unless you tell us otherwise. Please note that we do not want to send you information that you do not want to receive and you can opt out at any time . 

We will always ask your permission before sending you email marketing information.  We do this by asking for your positive confirmation (e.g. by providing a tick or inserting your contact details in the relevant boxes) indicating that you wish to receive marketing and you can opt out at any time. This ensures you only receive information that you have given us permission to send and are willing to receive.

How long we will keep your personal information

We retain your information for a range of purposes which determine the period of time for which we need to keep such information. For example (list is not exclusive):

Legal Checkup responses    3 years from the last point of contact with you. This may include use of our websites, use of My Legal Checkup, products and services provided to you or responses to communications with you

We will remove your data from our systems when your current employment ceases. For compliance with legal obligations arising from contracts entered into with you, for example tax regulations. We will remove your data from our systems at the end of the applicable data retention periods, unless we are required by current or future law to retain your personal information for a longer period.               

Information security

To protect your information, ULC has policies and procedures in place to make sure that only authorised personnel can access the information, that information is handled and stored in a secure and sensible manner and all systems that can access the information have proportionate and reasonable security measures in place. To achieve this, employees, contractors, sub-contractors and third party suppliers have contracts, with defined roles and responsibilities.

While we take commercially reasonable measures to ensure the safety and security of your data, due to the inherent risks with the Internet, we are unable to warranty the absolute security of your data when using our services.

 

Transfers of your information out of the EEA

We may from time to time need to transfer your personal information to support partners which are located outside the European Economic Area, for the purpose of ensuring our websites are operating correctly or in relation to third parties to whom we share your data. Any transfer of your data will be subject to adequate levels of protection that will safeguard your privacy rights and give you remedies in the unlikely event of a security breach.

Your rights

As a data subject you have the right to obtain confirmation from us as the data controller as to whether or not personal data concerning you is being processed. You also have the right to obtain from us free, information about your personal data stored at any time and a copy of this information.   Furthermore, you have the right to obtain information as to whether personal data is transferred to a third country or to an international organisation. Where this is the case, you also have the right to be informed of the appropriate safeguards relating to the transfer. Once we have received your request we will respond within 30 days.

You have the right to restrict the processing of your personal data under certain circumstances, including if you have contested to its accuracy and whilst this is being verified by us, or if you have objected to its processing and while we are considering whether we have legitimate grounds to continue to do so. You have the right to object, on the grounds relating to your particular situation, at any time, to the processing of personal data concerning you.

If you feel that we should no longer be using your data or that we are illegally using your data, you can request that we erase the data we hold. When we receive your request, we will confirm whether the data has been deleted or tell you the reason why it cannot be deleted. If you request us to erase the data we hold then this means that our business relationship will end as we cannot provide our service without processing your data.

You have the right to request that we stop contacting you with direct marketing. On promotional emails we provide an ‘unsubscribe’ link at the bottom of the email which will unsubscribe you from that service. If you wish to opt out with respect to more than one email address, you must complete a separate request for each email address.

Consent

In those cases where we need your consent to process your information, we will ask you to make a positive indication (e.g. to tick a box or insert your contact details on the relevant form or web page requiring consent). By actively providing us with your consent, you are stating that you have been informed as to the type of personal information that will be processed, the reasons for such processing, how it will be used, for how long it will be kept, who else will have access to it and what your rights are as a data subject and that you have read and understood this privacy policy.

Sharing your information

The information and data we collect is important and we understand that you care about the use and storage of your personal information. We would not want to share this with anyone else unless we have your express consent, we will never disclose, rent, trade or sell your personal information to any third parties for their marketing purposes.

We do disclose or transfer your data or personal information to other companies, data processors or agents employed by us to perform any necessary functions on our behalf (such as hosting and maintaining our website, providing us with data management systems, market research and support services), but they are bound by similar terms to those set out in our privacy policy and may not use this information for their own purposes.

In the event that ULC or any part of its business is sold to or integrated with another business, ULC may disclose your personal information to the new owners (and their professional advisers on the transaction) to be used by the new owners and their group of companies in the same ways as set out in this privacy policy, including to continue providing you with the same services and marketing information services as are currently provided by us.

We may also provide aggregate statistics about our customers, sales, traffic patterns and related site information to reputable third parties in order to better understand our services, website and overall customer satisfaction which may include personally identifying information.

 

 

Use of cookies

We collect information from all our visitors to MLS through the use of cookies. Cookies automatically record website usage and information such as the time, date, IP address, HTTP status and bytes sent and received. We use this information to improve our online service and to make changes to the layout of the MLS Website and to the information on it, based on the way visitors move around it. We only use cookies to record visitors' use of the MLS Website on an anonymous basis (so that individuals are not identified).
